My client is actively recruiting a contracts administrator to join their commercial team in Southend, this will be working Monday – Friday. The contracts administrator must be available to start immediately, Facilities management is essential as this will be a fast paced role so you will be required to hit the ground running with minimal training needed.

 

 

Job Description

The role is very diverse and reactionary to needs as they arise. The following list of tasks is not exhaustive but is a guideline to some of the more regular tasks

Management of CRM/Database, co-ordinating and scheduling Planned Preventative Maintenance works & remedial works via Support Desk system

Scheduling maintenance tasks for direct staff & sub-contractors and ensuring KPIs are met

Internal management of materials & equipment required for ongoing works

Confirmation of completed of works in the form of returned work instructions both paper & electronic

Compilation of performance reports based on the FM database system

Administration of invoices both outgoing & incoming within the department

 

 

Skills/Experience

Previous experience within facilities helpdesk environment or similar is essential

Financial awareness with regards to issuing quotations for reactive works

Knowledge of administrative and clerical procedures

Attention to detail

Strong IT skills

Methodical and logical thinking, able to carry out day to day tasks with little supervision

Deadline conscious

Confident and outgoing with a good telephone manner

Reliable and able to work on own initiative

Able to communicate at all levels

Use initiative to identify problems and provide solutions
